Rentwick references people who apply to rent a home, for the landlord or letting agent they applied to. This notice explains what we collect and why.

Applicants and guarantors

When a landlord or agent asks us to reference you, you’re sent a link. Nothing is checked until you’ve read what we do and agreed. We keep what you give us: your name, date of birth, contact details, five years of addresses with your landlords’ details, your job and income, bank statements and payslips, your employer’s and current or previous landlord’s contact details, any documents you upload, and your consent. We keep what your referees tell us, and the result of a credit check made through a credit reference agency with your consent (it leaves a soft footprint other lenders can’t see).

We use it only to make the reference for the landlord or agent who asked for it, and show it to nobody else. Uploaded documents are deleted 6 months after your application. The report stays in the landlord’s or agent’s account until they delete it.

AI

We use an AI service (Anthropic’s Claude) to read the documents applicants upload, compare them with the application, and help write a short summary for the landlord or agent. It points out things to check; a person always makes the decision. Applicants are told this before they agree to the checks.

The property’s EPC

When a reference is started we look up the property’s energy certificate on the government’s public register by its postcode.

Referees

If you give a reference, we keep your answers, your name and position, and when you sent them, and pass them to the landlord or agent in the report.

Landlords, agents and their staff

We keep your account details (name, email, a scrambled form of your password) and the references you start. Card payments go only to the payment company (SumUp or Stripe); we keep the payment reference and amount.

Fair decisions

Our report is a recommendation; the landlord or agent decides. It never takes account of whether someone receives benefits or has children.

Your rights

You can ask to see the information we hold about you, have it corrected, or have it deleted where we don’t need to keep it: email [email protected]. You can also complain to the Information Commissioner’s Office (ico.org.uk).
